~ Need a guide? Follow the steps below to managing the perfect wedding. ~



1. THE INITIAL ENQUIRY

•Enquiry info - Booker's contact details, number of guests, date & time

•Ceremony? Reception or both? (No ceremony only)

•Both of the couples names – Add onto collins

•Add Wedding label & wedding ceremony label (if applicable)

•Send wedding info & attach brochure

•Set a follow up date

2. THE SHOWROUND

•Once a date & time is arrange with the couple & site - confirm appointment with couple via email

•Add DMN Reference to top of Collins diary along with guest name & time of show round

•Send Calendar Invite to site email & general manager (including the DMN Reference & guest name & any further relevant info to know beforehand)

•Once a date & time is arrange with the couple & site - confirm appointment with couple via email

•Follow up with the Booker using notes & guidance from site (these should be on Collins internal notes but you may need to chase site). Set a follow up for the day after the visit so you remember to contact them!


3. CONFIRMING

  • ​Please ensure that if it is a Wedding and they are having a ceremony, the £250 fee has been explained. (Add Wedding Ceremony Label if not done already) ​

  • Once all questions have been answered, send the payment request for the Room Hire – Make sure you edit the template to include the minimum spend on here if there is one. 

  • Once the payment has been received, change the status to confirmed.

  • Find Confirmation Letters Below

  • Find the site template and edit as appropriate to fit the booking. ​

  • Save as PDF & send a copy to the guest. ​

  • Upload this into the documents tab on their booking  


4. THE MENU TASTING

  • Menu tastings are chargeable per person at the price of the menu chosen. They can have this for multiple guests - each will pay the pp charge ​

  • They will take place Mon-Thurs, Ideally with couples arriving between 6pm- 7pm. ​

  • If a couple would like to book a menu tasting - please check the events calendar for the site & date that they currently have one booked in for and offer the same date. (Ideally 1 per week). If couples are unavailable please be flexible & check with site. ​

  • If there is not one on then please offer the guest Mon-Thurs on their chosen week and book this in as the menu tasting day for that week ​

  • Confirm with the couple which menu they will be tasting - one of the set or bespoke. A Pre-order is required of 1 starter, 1 main & 1 dessert per person from their chosen menu. ​

  • Create a booking on Collins for the time they are arriving and no. of guests - booking type = function. Add the label - Wedding Menu tasting. ​

  • Enter the pre-order on the notes & pre-order tab along with any other notes relevant for the team. Ensure you have asked for all guest dietary requirements. ​

  • Guests can try any wines that we sell by the glass during their menu tasting. ​

  • Find the menu tasting form here. Upload a copy of this to the documents tab on the menu tasting booking. ​

  • Pop the DMN on the top of the day of the tasting along with a note mentioning what it is and to remind the team to print the form. ​

  • Send a calendar invite to the site email (e.g. crownandthistle@ to ensure it goes to the headchef & management team). 


5. MANAGING THE BOOKING

  • Discuss with the couple how they would like their floor plan. Top table? Long Banquet tables? Check with site if & how it fits in the room ​

  • Build floor plan - highlight the 1st guest for order of table service so the guest is aware where and how to order their guests. ​

  • Upload a copy of this to the documents tab​ (PLEASE NOTE THIS IS MORE OF A D&J JOB)

  • Once the menu tasting has been completed and/or menu has been confirmed, set up the couple's personalised Wedding menu link, including the children's menu if needed and send out to them​

  • Ensure that the couple are aware that pre-orders are due back by final details meeting 6-8 weeks prior to the wedding date. Once returned, spreadsheet to be imported to Perfect Table Planner & guest assigned to the correct seats as per B&G's table plan.  ​

  • Catch Up Meeting -These are as and when needed along the process! Some couples may never be in contact and some will be once a week...or more ;) 


6. FINAL DETAILS & PAYMENT

  • To take place around 6-8 weeks prior to the wedding date ​

  • Discussing all details from top to bottom to include the following: 

    • Final numbers​

    • Timings​

    • Wedding details​

    • Ceremony:​

    • Wedding breakfast​

    • Layout:​

    • Table Decorations:​

    • Cake​

    • Food/Drink​

    • Evening reception - Buffet - 2hrs out max​

    • Bridal Party:​

    • Accommodation: ​

    • Costs/Payments:​

  • After final details appointment - a full update issued to bride & groom with the final payment based on those details :) ​

  • Post Wedding - send request for feedback
